When the Consulate's Booking System Gets Stuck
For many people, getting the appointment is the hardest part of the whole process. The calendar looks empty, the verification code never arrives, the platform keeps rejecting the image check, or you find out too late that you booked at the wrong office. None of that can be fixed at the counter: it has to be sorted out beforehand, on the platform itself.

An empty calendar usually means slots are not open yet
This is the number one problem, and it rarely means there are no appointments at all: it means no slots are open at that moment. Offices release availability in batches, and some publish the exact time.

- On the calendar, free slots appear marked in green. If you see none, there is no availability right then.
- Try during the window when your office releases slots, not at random hours.
- Have your ID or passport number ready before you start: the flow times out.
- If weeks pass with no luck, write to the consulate explaining the real urgency (a dated trip, a minor, a medical situation).
The verification code does not arrive
The platform asks for your document number, a phone number and an email, then sends an activation code to that address which you must enter to continue. When it does not arrive, it is almost always one of these:
- The message landed in spam or the promotions folder.
- There is a typo in the address you entered.
- The same email is being reused for several family members, and consulates require each person to have their own.
After the code there is an image check where you type the characters shown on screen. If it keeps failing, try a different browser or a desktop computer instead of your phone.
You booked at an office that does not cover you
When booking you must choose an administrative centre from a list of every office, with names such as "EE.UU: NEWARK, NJ CONSULADO". Mistakes are easy and jurisdiction matters: the Newark office, for instance, covers New Jersey and Pennsylvania.
If you got it wrong, cancel the appointment and book again at the right office. If you are not sure which one is yours, start with the list of consulates or your city's page: if you live in a city without its own office, we tell you there which one to use.
One appointment per person and per service
This rule causes plenty of wasted trips, especially for families:
- The same appointment does not cover two people or two different procedures.
- A family group needs one appointment per member.
- The system only allows one appointment per person at a time.
Two children's passports mean two appointments. And if one parent will be missing, check in advance which document you will be asked for in minors' procedures with an absent parent.
How to cancel or move an appointment
It is done on the platform, not by phone: when you reach the data validation step, a red cancel button appears at the bottom right. You can then book again.
Cancelling beats not showing up, for two reasons: you free the slot for someone else, and you avoid running out of room if your office limits bookings. If the reason is a missing document — an apostille, a power of attorney, a translation — cancel without hesitation: the appointment is useless with an incomplete file.

⏰ Punctuality
You are asked to arrive at least 10 minutes early. New York warns that delays over 30 minutes are not admitted.
💳 Payment method
It changes by office: some take cards only, others money orders only. Check consular fees.
📄 Requirements
The platform shows a requirements link before you confirm. Read it: that is where the originals you must bring are listed.
One final warning: there is no service without an appointment. Dropping by "to see if they will take me" is not worth the trip.
Common questions about the booking system
No appointments are available. What now?
Slots are released in batches. Newark, for example, states you log in Monday to Friday from 4 p.m. Check whether your office publishes a time and try then: free slots show in green on the calendar.
Can I do two procedures in one appointment?
No. It is one appointment per person and per service, as consulates state. A passport and an ID card are two separate appointments.
The code never reaches my inbox
Check spam and make sure the address is spelled correctly. If you are booking for several relatives, remember each person needs their own email address.
I booked at the wrong consulate
Cancel that appointment on the platform and book at the office covering your jurisdiction. Each one serves specific states.
How do I cancel?

What if I am going to be late?
You are asked to arrive 10 minutes early, and New York does not admit delays over 30 minutes. If you know you cannot make it, cancel and rebook.
Can I pay someone to get me an appointment?
Booking is free according to the consulates themselves. If someone charges you for it, that is not the official channel: beyond the money, you are risking your personal data.
